Consider the scenario of Amelia; she is a fundraising manager at Civility Care, a non-profit that provides food to homeless people as well as shelters for them. Amelia is responsible for developing fundraising strategies as well as managing the fundraising team which goes on the field to communicate with leads and donors. The Team helps the people to be aware of their activities at non-profits for homeless people and collects donations from them.

To execute the decided fundraising strategies, Amelia needs her team to do well on the field and collect donations from the donors and the leads. To do this, she needs a well-optimized plan that her fundraisers can follow and meet the clients as needed. She uses the feature of Auto Scheduling to create an optimized schedule for her fundraisers to follow over a span of days.

To start using Auto Scheduling, she opens the Detail map and plots the Accounts of the existing Donors as well as the leads on the map. She chooses the option of Auto-scheduling from the Mass actions and goes to the Auto scheduling section.

As she has already saved the default preferences in the Default Map Configuration record(the one with no user), she has all the preferences pre-filled in the Auto Scheduling card, for example, period, meeting duration, working days, etc. She can also choose the option of ‘Consider existing meetings’ to consider if there are any existing appointments of the fundraisers. She now chooses the fundraisers and clicks on proceed.

This will now consider the preferences, the proximity of the records with the user locations and will provide an optimized schedule for the selected fundraisers to follow over the selected span of days to let them travel the shortest time on the field. Amelia can now click on the ‘Create Activities’ button to create the routes & appointments or only the routes in CRM.

Once the fundraisers get the routes assigned to them, they can open the route from ‘Activities’ and plot it on the map using the ‘Plot route’ button within the Route page. They can further use the navigation button to get the turn-by-turn directions and follow the route.

While following the route they can also look at other leads or donors if there are any in vicinity nearby using the ‘Along the route’ feature. This feature helps users to visualize records within a specified distance from the route. If the fundraiser’s meeting was canceled or they have some spare time, they can select the required records among the surrounding records and add them to their route to get the updated route

Once they have added more records to the route, they can use the option of ‘Open the route’ in the Directions card to search for their route record and click on ‘update’ to update the changes to their route record. This way Amelia would also be able to see the ad hoc changes made to the route by the fundraisers.

This is a walkthrough for how Amelia can easily create a well-optimized schedule for her team of fundraisers to follow and allow them to quickly get connected with the leads and donors to spread awareness and collect donations. Further, fundraisers can use the route assigned to them to meet the donors and the leads to create awareness about what they do at the NGO and collect the donation for the same.
